Everything for selling to other businesses — and for buying from your own suppliers.
If the words buyer, order form, RFQ, purchase order or capacity are new, start with the glossary.
The idea that makes this work#
An order has two sides, and KwikNest stores it once.
When you place an order with a supplier, it is a purchase order to you. That same order is a sales order to them. It is one record with two views — not two documents that have to be kept in sync.
So there is no re-entry, no mismatched paperwork, and no disagreement about what was agreed. When they mark it shipped, you see it shipped.
Selling to businesses#
Buyers — Available#
Each trade account is a buyer with contact details, order history, assigned order forms, and a contact preference.
Add them one at a time, or import your whole list from a CSV — column matching is assisted, so a spreadsheet you already keep usually imports without reformatting.
Buyer invites — Available#
Invite a buyer by email, SMS or WhatsApp. The invite carries their order form link.
Your buyer does not need an account to start ordering. If they later want a full KwikNest account they can claim one, and their history comes with them. They arrive as a purchasing-focused workspace, so they are not shown selling tools they do not need.
Email, SMS and WhatsApp all send through KwikNest — you do not set up a sending service or a phone number. If a buyer has no mobile number on file, the invite falls back to email rather than failing.
Order forms — Available#
The feature that replaces the phone calls.
An order form is a link you give a buyer. You control:
- Which products appear
- The prices that buyer sees
- What they may change — quantities, delivery day, delivery address
For your buyer it is: open link, set quantities, submit. No login, no app, no password, and it works on the phone they already answer. Three layouts are available, and KwikNest can draft the wording for you.
When they submit, a sales order appears in your queue — priced correctly, against the right account, with stock reserved.
Test your own form in a private browser window before you send it to anyone.
Quotes and enquiries — Available#
Buyers can send you a request for quote: specific products, quantities, and the date they need them. You respond with prices per line. If they accept, the quote becomes a purchase order automatically.
Quotes move through: sent → viewed → responded → accepted, declined, withdrawn, or expired. Everyone can see where a quote stands, which is the main thing an email thread cannot tell you.
Saved quote templates are Planned; you can reuse a previous quote as a starting point today.
Fulfilling a sales order — Available#
- Confirm — raises the invoice if the buyer is on net terms
- Ship with tracking, or add it to a local delivery run
- Your buyer sees each step from their side
Local delivery runs assemble the stops for a date, produce a driver manifest (email, print, or CSV), and sequence them into a driving route. You can save a draft, preview as the driver, auto-assign across vans, and let drivers capture proof of delivery and per-line checkoff on their phone. Runs cover both wholesale orders and storefront local-delivery orders. Full walkthrough: Local delivery.
Capacity — Available#
Your production ceiling, respected by the software.
- Set how many units you can genuinely produce per day
- Block out the days you are closed
- See what you have already committed to, from the orders in your queue
- Turn on automatic declining so requests beyond your capacity are refused at the point of asking
This is the difference between software that takes orders and software that understands that you cannot bake 900 loaves on a Tuesday.
Net terms and getting paid — Available · connect your own payment account#
Set your default payment terms in days. Confirming an order on net terms raises the invoice against it, so what you are owed is a screen rather than a memory. Buyers can pay through KwikNest by card, Link, or bank debit (US ACH and Canadian PAD on PO Checkout and hosted invoices when those methods are enabled on your payment account). Recording a payment that happened outside KwikNest carries no KwikNest transaction fee.
The one prerequisite is your own payment account, because the money settles into it rather than into ours. Live fee rates are on the public pricing page.
Performance — Available#
- Revenue over time
- Quote win rate — how many enquiries you convert
- Response time — how fast you reply
- Top buyers and top products
Response time is usually why trade accounts are won or lost, and it is the number most suppliers have never been able to see.
Being found — Available#
Suppliers appear in KwikNest's supplier discovery, with verification status visible. Buyers can add you to their network and send you enquiries directly.
A richer editable public profile is Planned; today your profile is drawn from your settings and you can preview it.
Buying from suppliers#
The same machinery, from the other side.
Find suppliers — Available#
Browse verified suppliers on KwikNest, add them to your network, and mark favourites. Your supplier list shows your open orders and enquiries with each.
Request and compare quotes — Available#
Send a structured request: products, quantities, the date you need them. Compare the responses. Accept one, and your purchase order is created automatically.
Receive deliveries — Available#
Track a purchase order from confirmed through shipped to received. Receive partially when a delivery arrives short — your stock reflects what actually turned up, not what the paperwork claimed.
Recurring orders — Available#
For anything you buy on a rhythm, set a weekly, fortnightly or monthly schedule. KwikNest raises either the quote request or a draft order automatically, so a standing order does not depend on anyone remembering.
Pay suppliers — Available · connect your own payment account#
Your payables view shows what you owe and to whom, whether or not you pay through KwikNest. Paying an invoice here needs your own payment account to pay from.
Running both sides at once#
If your organisation is both a merchant and a supplier:
- One login. No second account, no second subscription
- One catalog. Add a product once; sell it retail and wholesale
- One stock list. A retail sale and a wholesale order draw down the same number, so you stop overselling what you already promised to a trade account
- A mode switch between your Merchant and Supplier views, so you work on one side at a time without losing the other
Your wholesale prices are not visible on your public storefront. They live behind your buyer links and buyer records.

Frequently asked#
Do my buyers need training? No. If they can open a link and type a number, they can order.
Can two buyers see different prices for the same product? Yes. Order forms are per buyer.
What if a buyer wants to order something not on their form? They send you an enquiry, or you update their form. Both take moments.
Can I stop selling to a buyer? Yes — pause or end the relationship, and their form stops working.
Does a wholesale order affect my retail stock? Yes, deliberately. One stock list across both sides is the reason to run them together.
