KwikNest serves both retail and wholesale, so a few words do double duty. This page is the definitive meaning of each one.
Who's who#
Organisation Your business in KwikNest. It holds your catalog, orders, customers, settings, and your team. One business is one organisation, however many roles it has.
Role What an organisation does. An organisation can be a merchant, a supplier, or both at once. Roles decide which parts of the workspace you see.
Merchant An organisation that sells to end customers through a storefront — and buys from suppliers. If you run a shop, you are a merchant.
Supplier An organisation that sells wholesale to other businesses. If cafés and grocers order from you, you are a supplier.
Buyer A business that orders from a supplier. From your point of view as a supplier, your buyers are your trade accounts. A buyer may be a full KwikNest organisation or someone you invited who only ever uses their order form link.
Shopper / customer An individual buying from a merchant's storefront. Different from a buyer, who is a business ordering wholesale.
Team member A person you invite into your organisation. Each has a level: owner, admin, staff, or viewer.
Partnership A recorded trading relationship between a buyer organisation and a supplier organisation. It is what makes a supplier appear in your supplier list and a buyer appear in theirs. Partnerships can be marked as favourites.
Working across both sides#
Workspace mode The switch between Merchant and Supplier views, available when your organisation holds both roles. It changes what the navigation shows so you work on one side of the business at a time. It does not split your data.
Merchant suite How much of the merchant toolkit you see. A full merchant sells through a storefront and gets everything. A buying merchant only purchases from suppliers, so storefront and selling tools are hidden to keep things simple. Businesses that join by accepting a supplier's invite start here.
Wholesale and buying#
Order form A link you send a buyer so they can reorder without logging in. You choose which products appear and how they are priced. Works on a phone. One buyer can have their own form.
Buyer invite How you bring a trade account onto KwikNest. You send an invite by email, SMS or WhatsApp; it carries their order form link. They can order immediately and can later claim a full account if they want one.
RFQ (request for quote) A structured request you send a supplier: these products, these quantities, needed by this date. Better than an email because both sides see the same lines.
Quote A supplier's priced response to an RFQ. Quotes move through states: sent, viewed, responded, then accepted, declined, withdrawn, or expired.
Purchase order (PO) A confirmed order you are placing with a supplier. Created automatically when you accept a quote, or directly from an order form or a recurring schedule.
Sales order (SO) The same confirmed order seen from the selling side. Your buyer's purchase order is your sales order — one record, two views.
Receiving Recording what actually arrived against a purchase order. You can receive partially when a delivery is short, and your stock reflects what turned up rather than what was ordered.
Recurring order A schedule that raises the same order (or the same quote request) automatically at a weekly, fortnightly or monthly interval.
Capacity Your real production ceiling — how many units you can fulfil in a day — plus the days you are closed. Booked load is the sum of order-line quantities due that day. When you turn on auto-decline, KwikNest can refuse RFQs that would push a day over that ceiling so you do not accept work you cannot deliver.
Net terms Paying after delivery instead of at checkout, on an agreed number of days. Standard in wholesale. When an order is confirmed on net terms, KwikNest raises the invoice against it.
ACH / PAD Bank debit for wholesale payments that settle through KwikNest. US ACH (USD) and Canadian PAD (CAD). Available on PO Checkout and hosted invoices when those methods are enabled on your payment account. Separate from cards and Link.
Payables Wholesale money you owe your suppliers.
Payouts Money coming to you from sales.
Storefront#
Storefront Your public online store, at a KwikNest address or your own custom domain.
Blueprint A complete storefront design curated for an industry — palette, typography, navigation, imagery direction, and the order of sections on the page. Blueprints are designed, not generated.
Page recipe Which sections your home page uses and in what order, chosen from what you sell and what you want the store to do. Every industry that ships today has recipes — for example a bakery selling daily bread gets a different page from wedding cakes or wholesale, and the same idea applies across restaurant, grocery, retail, and wellness.
Visual style The mood applied on top of a blueprint — for example warm, modern, minimal, editorial, luxurious or vibrant. It changes how every section is presented.
Section One block of a page: a hero banner, featured products, a story block, a gallery, an FAQ, a contact form, and so on. Pages are built from sections.
Draft and live Your edits are saved as a draft that only you can see. Publishing copies the draft to the live store your customers see. Every publish is saved so you can roll back.
Companion pages The supporting pages KwikNest can generate alongside your home page — typically About, Contact, FAQ and Locations.
Catalog and stock#
Product Something you sell. A product can have several variants.
Variant A specific version of a product with its own price and stock — a size, a weight, a pack count.
SKU Your own code identifying a variant.
Location A place you hold stock or serve customers from: a warehouse, a kitchen, a shop.
Local delivery Fulfilment on your own van or driver for a planned calendar day. Shoppers choose it at checkout; you build runs under Local Delivery. Separate from on-demand. See Local delivery.
On-demand Same-day courier fulfilment via DoorDash, Uber, and similar when coverage allows. Checkout quotes a live fee and dispatches after payment. Courier accounts are KwikNest's — you turn the method on. See On-demand couriers.
POS (point of sale) KwikNest's in-person cart: ring up on any browser or tablet, take cash or a card on your existing terminal, and decrement the same stock as the storefront and wholesale.
Delivery run One driver's trip for one date: an ordered list of stops, a shareable phone link, and an optional emailed or printed manifest.
Proof of delivery An optional photo and signature the driver captures when marking a stop delivered.
Adjustment A recorded change to stock with a reason and a note — a count correction, waste, or a transfer. Adjustments build an auditable ledger.
Reorder point The stock level at which a variant should be reordered. Drives restock suggestions.
AI#
Nestor KwikNest's back-office assistant. It answers questions about your own data and can draft actions for you. Anything that spends money or reaches a customer waits for your approval.
Approval The confirmation step before Nestor's drafted action takes effect. Nestor drafts; you decide.
Anomaly alert A flag Nestor raises when something looks wrong — a zero price, a discount above your cap, stock running out, a delivery that has not moved.
Trust and administration#
Verification Confirming your business identity, handled through our payments provider's verification process. Verified suppliers are marked as such where buyers can see it.
Audit log The record of consequential actions taken in your organisation — who did what, and when.
Feature flag A switch the KwikNest team uses to enable a capability for specific customers, usually during a staged rollout.
Describes the product as it ships today.
